Confirm the Dimensions and Layout Basis a Bidder Will Count

Start with the physical record a bidder will use to count and place the work. Identify the current plan or drawing revision, included spaces, dimensions, ceiling or mounting planes, and the layout basis for fixture locations.

State whether locations are dimensioned, coordinated with an architectural or reflected ceiling plan, based on a photometric study, or subject to field verification. Also mark room-use changes, ceiling heights, obstructions, task zones, perimeter areas, and existing conditions when they could change the count or placement.

A defined lighting package should connect fixture locations and mounting heights with electrical data, controls information, special characteristics, and applicable performance documents. A settled quantity can still hide open questions about supports, suspension, brackets, attachment surfaces, existing versus new supports, installation method, and access equipment. Those details can change labor even when the equipment count does not.

Do not treat a fixture category or product page as proof that a product, mounting method, or project condition fits. Resolve material fit before placing the item in the base bid. Use a named alternate for a genuine selection choice, a bounded allowance when the installation basis is known and only a defined cost remains open, or a hold when the choice could change the project approach.

Document the Electrical and Controls Basis Without Designing the Circuit

State the electrical basis supplied by the responsible project team and the relevant normal or emergency operating intent. This section should give bidders the inputs they need for pricing without designing circuits, line sizes, or high-voltage installation details.

Describe the controls intent at the scope level. Identify switching, dimming, occupancy or daylight controls, scheduling, sensors, control zones, existing-system integration, and commissioning or programming responsibility when those items apply. Record Environmental and Access Conditions That Change the Installation

Then document the work environment: ceiling, wall, or roof conditions; lifts and ladders; shutdowns; occupied-space limits; working hours; delivery and staging; protection; removal; disposal; restoration; and coordination.
